Archiving Clients
When a client stops coaching with you — whether temporarily or permanently — you can archive them to keep your active roster clean without losing any of their data.
How to archive a client
- Open the client's dashboard.
- Click the three-dot menu in the top-right corner of the header.
- Select Archive.
- The client is immediately moved to archived status.
What happens when you archive
- The client disappears from your main Clients directory, keeping your active roster focused on current clients.
- All of their data is fully preserved — check-ins, meal plans, workout plans, goals, notes, progress photos. Nothing is deleted.
- The client's lifecycle stage changes to "Archived."
Archiving is a soft action. Think of it as putting a client's folder in a filing cabinet rather than the recycling bin.
How to unarchive a client
If a client comes back or you need to reactivate them:
- Open the client's dashboard (you can find archived clients by including them in your view).
- Click the three-dot menu.
- Select Unarchive.
- The client returns to active status and reappears in your Clients directory.
All their previous data — plans, check-ins, goals — is exactly where you left it.
When to archive vs. delete
Assistant Coach doesn't offer a permanent delete option for clients. This is intentional — in coaching, historical data has long-term value. A client who returns after six months shouldn't have to start from zero, and you shouldn't lose the record of work you've done together.
Archive is the right choice when:
- A client finishes their coaching engagement
- A client takes a break and may return
- You want to declutter your active roster
- You need to focus on current clients without distraction
