Profile & Preferences
The Settings page is where you configure your coaching workflows and manage connected services. Head to Settings from the left sidebar.
Brand name
Your brand name is what clients see in their portal — in the header and welcome messages. You set this during onboarding (e.g., "FitLife Coaching" or "Peak Performance Training"). If you skipped it, the portal shows "Assistant Coach" by default.
To update your brand name later, go to your Profile page (click your name in the sidebar) and click the edit icon next to the brand name field.
Your to-do list
These settings control what shows up in your home to-do list and when work needs your attention.
Mid-week client follow-ups
Turn on Remind me to check in mid-week if you want Assistant Coach to add a follow-up to-do for each active client about halfway between weekly check-ins.
The to-do reminds you to reach out. Assistant Coach does not message the client for you.

Response times
Response-time settings control how long different tasks can wait before Assistant Coach marks them overdue on your home to-do list.
Every due date drives the urgency sorting on that list:
- Overdue — Past the deadline (appears first, highlighted)
- Due today — Deadline is today
- Due tomorrow — Deadline is tomorrow
- Due this week — Within 7 days
- Due later — More than 7 days out
Check-in review due hours
Range: 1–336 hours (up to 2 weeks)
This sets the default deadline for reviewing a client's check-in after they submit it. When a check-in comes in, Assistant Coach calculates a review due date based on this setting.
A typical setting is 24–48 hours. Choose a window that's realistic for your schedule — tight enough to keep you responsive, but not so tight that everything feels urgent.
Workout video review due hours
Range: 1–336 hours (up to 2 weeks)
When a client uploads exercise videos during a workout, Assistant Coach creates a review to-do for that session and gives it a due date based on this setting. This is a coach-wide default — individual workout video to-dos don't support per-item due date changes.
A typical setting is 24–48 hours. See Workout Video Review To-dos for how the review queue works.
Intake plan due hours
Range: 1–720 hours (up to 30 days)
This sets how long after a client completes their intake form you have to prepare their first plan. Like the other response-time settings, this shows up as a to-do on your home page.
A typical setting is 48–72 hours — enough time to review their intake data, build a meal plan and workout plan, and set up their goals.
Measurement units
These control the units used to display and enter values across the app.
Weight units
Choose whether you want weight values shown and entered as kg or lbs.
- This preference applies across coach and client views.
- Weight values are stored consistently in kilograms in the backend for calculations and analytics.
Distance units
Choose whether cardio distances are shown and entered as km or miles. This applies in workout logging.
Connected apps
This section shows AI tools you've connected to Assistant Coach via the MCP integration. See Connecting AI Tools for the full setup guide.
For each connected app, you'll see:
- App name and icon — The AI tool (ChatGPT, Claude, etc.)
- Connection date — How long ago the app was connected (e.g., "Connected 3 days ago")
- Disconnect button — Immediately revokes the app's access
Setup instructions
Below the connected apps list, you'll find step-by-step instructions for connecting new AI tools. The instructions include:
- Your MCP Server URL (with a copy button)
- Tab-separated guides for ChatGPT and Claude with platform-specific steps
